ICOM DOCUMENTATION (formerly CIDOC) Assembly General Meeting 11 December 2025 online and elections for the 2026-2028 period News

This year, we are holding our AGM online given the planning of the ICOM Triennial in Dubai. Please mark your calendar on Thursday 11 December 2025 from 17.00-18.30h CET. You will receive the platform link in December.
We have an important meeting: our board is preparing for its renewal for the upcoming term (2026-2028). This year, members are invited to vote on two items during this election process.

Board member elections

The board is made of nine members: Chair, Vice Chair, Secretary, Treasurer, Editor, and four ordinary Board Members. For this period, we have only one candidate for the Chair, Vice Chair, Secretary, Treasurer, Editor positions and these are accepted by default. For the ordinary board members we have five candidates for four positions and for selecting these we will need to hold elections. You can review their supporting statements.

If you are a current ICOM Documentation member (formerly CIDOC) in good standing, you are entitled to vote.  The election process is as follows:

  • 3 November: Dissemination of information, candidates brochure
  • 3 December: Opening of voting period in Helios platform (08.00 am Central European Time CET)
  • 10 December: Closing of voting period (23.59 Central European Time CET)
  • 11 December: Publication of results at the ICOM Documentation Assembly General Meeting (AGM)

ICOM Documentation Bylaws

In 2023, during the Extraordinary General Assembly, ICOM approved changes to its statutes. Since then, all ICs have the responsibility to adopt, review and harmonize their bylaws in order to make them more transparent and reflective of current ICOM practices.

Following ICOM Statutes updates, ICOM Documentation has updated its bylaws and you can find the document HERE. The update resolved redundancies, increased clarity, and added documentation references  in the workflow of the committee, such as ensuring working groups present a working plan.

We invite our members to review and vote to approve or reject the updated bylaws.

Election process

To ensure your participation, please take a moment to verify your contact information. The voting link for the Helios platform will be sent exclusively to the email address you have registered in your ICOM profile. You can review and update your details by logging into the ICOM portal.

You will receive detailed voting instructions on your registered email closer to the election date. However, it is essential that every member confirms their official contact information with ICOM beforehand to ensure you receive the ballot.

We have the help of Monika Hagedorn-Saupe to coordinate the election process and count the votes, and of David Cigánek to set up the Helios platform for the voting process.
